Library
meeting rooms may be available for use by businesses, organizations
or individuals for educational, cultural or public service
activities at the discretion of library officials.

Use of the
room is scheduled on a first come, first served basis after
completion of a written Meeting Room application form. The
application form must be completed by a sponsoring adult with a
valid Alexander Mitchell Public Library card. The Community Services
Librarian will confirm the reservation.

Library
sponsored programs receive first consideration followed by
non-profit organizations.

Reservations
will be take for the present calendar year only. Fees for
those attending the meetings may not be charged without approval of
the library director at the time of scheduling.

The library
director, in conjunction with the Aberdeen Police Department, will
determine if police security is necessary. Security fees will
be the responsibility of the applicant.

It is
recommended that groups including minors have at least one (1) adult
supervisor per twenty (20) children.

Rooms may only
be used during regular library hours of operation and are available
15 minutes after the library opens and must be vacated 30 minutes
before the library closes.

A room will be
charged to a sponsoring adult with a valid library card. The
sponsoring adult:
a. Confirms
that all information is true and correct as stated
b. Confirms
that he/she has the proper authority to make application for
the
organization.
c. Agrees
that he/she and the organization will abide by library policies
d. Will not
sublet the use of the room without prior approval
e. Is
responsible for checking in at the circulation desk before the event
(the room
will be opened at that time)
f. Is
responsible for having all persons leave the meeting room area no
later than the
ending time indicated
g. Is
responsible for checking out at the circulation desk after the event
h. Will be in
attendance at the event
i. Is
responsible for arranging furniture for the group's use
j. Is
responsible for leaving the room as it was found
k. Will be
financially responsible for any damage to equipment, facilities or
grounds
as a result of the sue of the room or for any excessive cleanup that
may be
required after use of the room

Refreshments
may be served, however, kitchen facilities are not available in the
meeting rooms. A small kitchenette is located in the library staff
room and may be available for use. Drinks or foods that may
stain the carpet are discouraged.

Use of
alcohol, tobacco or non-prescription drugs is prohibited.

Items may NOT
be taped, stapled, tacked, nailed, or otherwise attached to the
walls or doors of the room.

Animals,
except service animals, are not allowed without approval.

Any behavior
inappropriate in the library will not be tolerated. The group
will be asked to leave the library.

Failure to
abide by the library policies will mean loss of the use of the room
for the sponsoring adult and the group for a period to be determined
by the library director and/or the library board of trustees.

The library
will not assume any responsibility for loss, theft, or damage
resulting from use of its facilities or equipment.
